UrgentRecruite provides recruitment, candidate screening, shortlist, intern shortlist, and related talent services. For data protection purposes, UrgentRecruite is the controller of personal data collected directly through this website unless a written agreement states otherwise.

2. Information We Collect
We collect information that users submit directly, information generated through recruitment workflows, and limited technical information from website use.
- Candidate and intern applications, including names, email addresses, phone numbers, country or location, LinkedIn links, role interests, field of experience, years of experience, expected salary where provided, career notes, CVs, resumes, and employment-related information.
- Employer and recruiter hiring requests, including contact names, work email addresses, phone numbers where provided, company names, LinkedIn links, industry, job titles, compensation ranges where provided, job descriptions, job specifications, uploaded job documents, generated briefs, and shortlist preferences.
- Contact form submissions, including name, email address, phone number, and message content.
- Operational data, including submission timestamps, source flags, profile review status, shortlist status, file names, storage paths, and deletion or retention status.
- Cookie and analytics data, including consent choices, language preference, page views, CTA clicks, form submission events, browser and device information, approximate location, referrer, and interaction data if analytics consent is granted.
3. Why We Collect Personal Data
We process personal data to operate the recruitment platform, review candidate suitability, respond to employers, provide shortlist and intern shortlist services, communicate with users, protect the service, meet legal obligations, and improve the website.
- To receive, store, review, and manage candidate and intern profiles.
- To evaluate candidate experience, qualifications, career interests, certifications, projects, and suitability for relevant opportunities.
- To prepare anonymous candidate previews for employer shortlists and full intern profiles for free intern shortlist requests where applicable.
- To receive employer hiring requests and prepare shortlist workflows.
- To respond to contact requests and service enquiries.
- To maintain security, prevent misuse, debug technical issues, and preserve business records.
- To measure website performance and improve user experience when analytics consent is granted.
4. How Candidate and Intern Data Is Used
Candidate and intern information is used to create and manage recruitment profiles, assess relevant experience, match profiles to suitable employer requests, prepare summaries, and communicate about opportunities. For standard paid shortlist previews, contact details are hidden from employers until the relevant unlock or payment workflow is completed. For free intern shortlist requests, selected intern profiles may be shared more fully with the requesting organization as part of the free intern service.
We do not sell candidate personal data. We do not allow employers to use candidate data for unrelated marketing, resale, or profiling outside the recruitment purpose for which it was shared.
5. How Employer Data Is Used
Employer and recruiter data is used to process hiring requests, clarify role requirements, prepare shortlist or intern shortlist workflows, generate job advert drafts when requested, create client links, communicate about shortlisted profiles, manage payment or free intern status, and maintain service records.
6. Legal Basis for Processing
Where GDPR or similar data protection laws apply, we rely on one or more of the following legal bases:
- Consent, where a user submits optional information, uploads a CV, requests contact, or accepts analytics cookies.
- Contract or steps before entering a contract, where we process data to provide requested recruitment or shortlist services.
- Legitimate interests, including operating a recruitment service, reviewing candidates, preventing misuse, improving service quality, and maintaining business communications, balanced against individual rights.
- Legal obligation, where we must retain, disclose, or process records to comply with applicable law, tax, accounting, regulatory, or dispute obligations.
7. Cookies and Analytics
Necessary cookies and local storage are used to keep the website working, remember language and cookie choices, support forms, and protect the service. Analytics cookies are optional and disabled by default. We only load Google Analytics 4 and Microsoft Clarity after the visitor grants analytics consent through the cookie banner or cookie preferences panel.
Visitors can reject non-essential cookies or change preferences later by using the Cookie Preferences link in the footer. Rejecting analytics cookies does not prevent use of the website.
8. Third-Party Services
We use trusted service providers to host, secure, store, process, and measure the website and recruitment workflows. These providers process data only for service-related purposes and according to their own security and privacy commitments.
- Vercel, for website hosting, deployment, and serverless runtime configuration.
- Supabase, for database, file storage, and submitted CV or job document storage.
- Google Analytics 4, for website analytics where analytics consent is granted.
- Microsoft Clarity, for interaction analytics where analytics consent is granted.
- Google Fonts, CDN services, and image/media providers used to render the website.
- Social media platforms, when a visitor clicks an external social link.
9. Data Sharing
We share personal data only where necessary for recruitment services, website operation, legal compliance, security, or user-authorized workflows. Employer access to candidate data is limited according to the service flow: anonymous or redacted profile information for standard shortlists before unlock, and fuller intern profile information for free intern shortlist workflows where selected and shared.
10. International Transfers
UrgentRecruite may serve users in Nigeria, Spain, Portugal, Germany, Kenya, and other countries. Personal data may be processed by service providers in other jurisdictions. Where required, we use appropriate safeguards such as contractual protections, access controls, and vendor privacy commitments.
11. Data Retention
We keep personal data only for as long as reasonably necessary for recruitment services, user communication, legal compliance, dispute resolution, security, and operational records.
- Active candidate and intern profiles may be retained while they are relevant to recruitment opportunities or until deletion is requested and no legal basis requires continued retention.
- Deleted or rejected profile records may be retained in a review or recovery area for up to 90 days before permanent deletion.
- Employer hiring records are retained for the duration of the request, service relationship, and any legally required accounting or audit period.
- Contact form messages are retained only as long as needed to respond and keep appropriate business records.
- Cookie consent records remain in the visitor browser until cleared or replaced by a new consent version.
- Analytics retention follows the configured retention settings of Google Analytics and Microsoft Clarity.
12. Security Measures
We apply reasonable technical and organizational measures to protect personal data, including HTTPS transport, restricted administrative access, database security controls, role-based review processes, separation of public and private views, file storage controls, and the principle of least privilege. Service role keys and private credentials must not be exposed in the website frontend.
13. Your GDPR and Data Protection Rights
Depending on your location, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal data. You may also withdraw consent where processing is based on consent, including analytics cookie consent.
- Access: request confirmation and a copy of personal data we hold about you.
- Correction: ask us to correct inaccurate or incomplete personal data.
- Deletion: ask us to delete personal data where there is no continuing lawful reason to keep it.
- Restriction: ask us to limit processing in certain circumstances.
- Objection: object to processing based on legitimate interests.
- Portability: request a machine-readable copy of data you provided where applicable.
- Complaint: contact a relevant data protection authority if you believe your rights have not been respected.
14. How to Make a Privacy Request
Email privacy@urgentrecruite.com with your name, contact email, the right you want to exercise, and enough information for us to identify the relevant record. We may request additional information to verify identity before disclosing or changing personal data.
